What is the clearance request actually asking you to explain?
Start with the parcel reference, the requested information and the response deadline. The question may concern the contents, transaction value or missing shipment details. Keep the original request so you can answer the stated issue rather than uploading a large collection of unrelated screenshots.
If the request is unclear, ask which field or document is missing and who should supply it. A purchasing agent, seller, shipper and recipient may hold different parts of the record. Establish who is coordinating the reply before several people send different versions.
How are the documents different?
| Record | What it helps explain | What it may not establish by itself |
|---|---|---|
| Seller order confirmation | The selected goods, options, quantities and order reference | Whether the displayed amount was paid or which goods are in this parcel. |
| Payment confirmation | The transaction amount, currency, date and payment reference | A complete description of every item being shipped. |
| Commercial invoice | The shipment parties, goods descriptions, quantities and values | Every additional detail a destination may request. |
| Packing or dispatch record | Which purchased items were allocated to a parcel | The transaction value and payment history. |

These records can support one another, but they are not interchangeable. FedEx describes the commercial invoice as a key customs document and emphasizes consistency across shipment paperwork. Exact document requirements depend on the shipment and destination; a checklist does not establish that every case needs the same set.
What makes a goods description useful?
Use a specific description of the item, its material and purpose, with the quantity clearly identified. A category such as “accessories” may leave the reviewer unable to identify the goods. Keep separate types of goods distinct rather than using one vague description for the whole parcel.
Country of origin describes where the goods were made and is distinct from the country they were dispatched from. If origin, composition or another required detail is unknown, obtain it from the seller or responsible shipper. Ask the clearance service about classification questions instead of choosing a code solely because it appears to have a lower charge.
What if one payment covers several items or parcels?
Keep the connection between the transaction and the goods visible. A payment total may cover several seller orders, service charges or products sent in separate parcels. Ask the sender or purchasing service to explain the allocation for the shipment under review rather than changing a payment screenshot to make it match.
- List the seller order references associated with the parcel.
- Identify the quantities included in this shipment.
- Keep the original amounts and currencies on the records.
- Explain any separately listed delivery or service charges.
- Ask the clearance service what further value evidence it needs.
For example, if one purchase contains four items and this parcel contains two, provide the dispatch record and ask for the invoice details applicable to those two. Do not assume that half the purchase total is correct: the individual items may have different values or costs.
How should I send a complete reply?
Verify the request through the actual carrier or service account before submitting documents. Use the case reference and the requested upload or response channel. Send readable, relevant records and make sure names, quantities, currency and shipment references agree wherever they describe the same fact.
Keep a copy of what you submitted and any confirmation. Supplying paperwork does not guarantee release or determine the final assessment. If the case remains open, ask whether the reply was received and which specific information is still outstanding.
