Why does the item price leave part of the budget unanswered?
The seller’s item price answers what the chosen product costs at that stage. It does not answer what a finished parcel will cost to reach you. A budget becomes useful when it follows the order through purchase, warehouse preparation, international delivery and any later destination bill.
Keep three columns: amount, currency and status. Mark an amount as quoted, estimated or paid, and note which item or parcel it belongs to. If an amount is still unknown, keep it visible as an open line rather than treating a blank cell as zero.
Which costs belong on the worksheet?
| Budget line | What belongs here | Question to settle |
|---|---|---|
| Selected products | Price for the exact option and quantity | Does this match the option you intend to buy? |
| Domestic delivery | Seller-to-warehouse charges | Is this already included in the purchase total? |
| Service and warehouse extras | Agreed purchasing, photos, packing or other extras | Which are optional and which have you requested? |
| International delivery | The parcel’s selected shipping service | Is the quote still provisional or based on final packing? |
| Destination charges | Applicable duty, tax and handling amounts | Which have already been collected or prepaid? |
| Payment and conversion | Applicable payment costs and the conversion used | What amount will be charged in your payment currency? |

The same charge should not appear twice. If an invoice already includes domestic delivery, keep a note of that inclusion instead of adding it again. When a shipping service includes specified import charges, identify those inclusions before entering another destination estimate.
A worked budget with an unfinished shipping decision
Now change only one line. If final packing changes freight from CNY 240 to CNY 280, the total rises by CNY 40 to CNY 975 under the same other assumptions. This makes the cause of the change visible without implying that the seller raised the item price.
For two service quotes, copy the same product options and destination into both columns. Leave a clear note wherever their inclusions differ. Compare the final totals only after resolving those differences or showing the remaining uncertainty beside them.
Why might a USD estimate differ from the payment charge?
A reference conversion and a payment conversion can be different calculations made at different times. Keep the underlying currency amount and inspect the payment review before confirming. PayPal explains that its conversion rate is shown during payment; where card-issuer conversion is available, the exact rate may instead need to be checked with the issuer or on the statement.
For an arithmetic illustration, CNY 630 divided by an assumed 7.2 CNY per USD is USD 87.50. At an assumed 7.0 CNY per USD it is USD 90.00. The CNY subtotal did not change. Neither assumed rate is a live offer, and the calculation alone does not include a separately charged payment fee.
Keep the direction of the rate clear. A figure expressed as CNY per USD is used differently from USD per CNY. Save the payment confirmation with the actual charged currency so you can reconcile it with the order record later.
What should I confirm before paying the next stage?
- The exact item or parcel covered by this payment.
- Which previous payments are already included in the displayed total.
- The currency amount and any stated conversion or payment charge.
- Which shipping, service and destination lines remain estimates.
- The inclusions behind any tax-paid or all-in label.
Ask for an itemized explanation if the new amount cannot be matched to the worksheet. A useful question is: “Which line changed, what was the previous assumption and what information fixed the new amount?” Keep the answer with the quote date and parcel details.
